Receipt tracking for short-term rentals: forward it and forget it

The only moment you reliably know which house a Home Depot run was for is standing at the register. Two weeks later, looking at a bank statement that says HOME DEPOT #2841, nobody knows. So capture it at the register instead of asking yourself to reconstruct it in March.

The actual problem

One operating account across several properties carries no signal about which property a purchase belonged to. That information exists in exactly one place, your head, for about a day. Every system that asks you to sort receipts later is asking you to remember something you were never going to remember.

And the receipt itself is usually a photo on your phone, an email buried under forty others, or a paper slip in a truck console. The gap between having a receipt and having it in your books is where deductions quietly disappear.

How forwarding works

Forward the receipt to [email protected] from the address you sign in with. That is the whole interaction. It lands in RentReel and waits to be matched against the charge when it clears your bank.

Nothing an email sends is ever written into your books on its own. A receipt waits until a person attaches it to a real charge. Email is an untrusted input and it should never be able to create a financial record by itself.

It matches on the merchant, not just the amount

When the charge appears, RentReel offers the ones that plausibly belong to that receipt, and the merchant wins. A forwarded Verizon bill offers Verizon charges first, and only Verizon charges when any are in the window. That matters more than it sounds. Match on amount and date alone and a phone bill will cheerfully offer a hardware store charge that happens to be a similar number, which is worse than offering nothing, because nobody goes back to check a receipt that is already attached to something.

Naming the property is optional, and gets more optional

Put the property in the subject if you like. Your own short names work, so HG Supplies is enough. But once a payee has a property attached, the receipt inherits it, so for anywhere you shop regularly the subject line stops mattering after the first time.

One bill, several houses

A cleaner invoices four houses on one bill. A subscription covers all of them. Rubbish collection is shared by two. Say so in the subject and attaching it splits the charge for you:

  • Daisy Lane $648, Hidden Grove $432 splits by those amounts.
  • LS/Ridge Garbage divides evenly between the two.
  • All properties covers the portfolio.

If the amounts you state do not add up to the charge that cleared, RentReel attaches the receipt and tells you they do not reconcile rather than rounding the difference away. A cleaner's invoice that does not balance is a question for you, not something software should quietly smooth over.

A utility bill names its own property

Your power company looks identical on a bank statement no matter which house the power went to. The descriptor identifies the merchant, and the merchant is the same company for every meter you own. No vendor rule can ever separate them.

The bill itself carries what the bank never will. Forward it, and RentReel reads the service address printed on it and suggests that house. When you attach the bill to its charge, the charge is filed there. Each later bill you forward from that account is recognized the same way.

It refuses rather than guesses. If an address does not clearly identify one property it does nothing and says so, because filing one house's power bill against another is worse than leaving it unfiled. The longer write-up on splitting utilities across a portfolio covers the manual method too, if you would rather do it yourself.

What happens to it afterwards

It stays attached to the charge, so when your accountant asks what a $1,240 payment in June was, the answer is one click rather than an afternoon. Photos and PDFs are stored privately and served only to you. Receipts live per charge rather than in a general pile, which is the difference between having receipts and having them where the question gets asked.

What it does not do

  • It does not post anything to your books by itself. You attach it.
  • It does not read a total off a forwarded photo. If the forwarded text states no amount, RentReel says so and lets you type it off the picture rather than offering unrelated charges to guess between.
  • It does not file your taxes. RentReel keeps tax-ready books and your CPA files.

Receipt forwarding is on every plan, including Free. Free covers one short-term rental with no card and no time limit, and long-term and mid-term doors never count toward any tier.

Frequently asked questions

Can I just forward receipts from my phone?

Yes, and that is the intended use. Forward it from the email address you sign in with, from wherever you already are. If you want to name the property, put it in the subject line; your own short names work.

What if one receipt covers more than one property?

Write the split in the subject. Naming each property with an amount splits by those amounts, naming two with a slash divides evenly, and saying all properties covers the portfolio. If the amounts you state do not add up to the charge that actually cleared, RentReel tells you rather than rounding the difference away.

How does it know which house a utility bill is for?

It reads the service address printed on the bill. A bank descriptor is identical for every meter on the same account, so the house is not in your bank feed and never will be. The bill has it. If the address does not clearly identify one property, RentReel assigns nothing and says so.

Does forwarding a receipt change my books automatically?

No. A forwarded receipt waits until you attach it to a real charge. Email is an untrusted input and should not be able to create a financial record on its own.

What if the receipt is a photo with no amount in the text?

RentReel says there is no total to match on and gives you a box to type the amount off the picture. It does not offer a list of unrelated charges to guess between.

Is receipt tracking only on paid plans?

No. It is on every plan including Free, which covers one short-term rental with no card and no time limit.
